Do you want a central role in the municipality's information management?
As a registrar, you are a key person in the municipality's handling of documents and cases.
With us in Kungälv, you will be part of a team responsible for the municipality's registry, and you will belong to the Administration and Investigation unit. Together, we create legal security, order, and accessibility in the information flow, always driven by increased efficiency and service. We are 22 employees within the unit and are responsible for several municipality-wide processes such as registry, archives, and committee coordination, as well as overarching support processes for the municipality's educational activities.
The role involves close collaboration with colleagues throughout the organization, where you provide support in case registration, document management in general, and contribute to developing our processes.
Responsibilities
As a registrar, you are responsible for ensuring that public documents are handled legally, efficiently, and with high service. The role includes, among other things:
- Registration and case management of documents, assessments of registration obligations, starting and closing cases and files.
- Disclosure of public documents, qualified confidentiality assessments, and support in practical handling.
- Daily handling of physical and digital mail and sending out mailing lists, as well as monitoring functional mailboxes.
- Service to citizens, media, and colleagues when disclosing documents and answering questions about document management.
- Support and training for case officers in document management and case registration.
- Coordination and updating of document management plans in collaboration with operations and the archive function.
- Ensuring organized archiving in local archives.
- Contributing to the development and efficiency of processes and routines in the area.
- Other administrative tasks within the unit, such as certain invoice management may be included.
- Tasks within the municipality's election organization may also be included.
Qualifications
We are looking for someone with experience in administrative work within a municipality or other public organization, as well as education in administration. You should have good knowledge of public access and confidentiality legislation and be both knowledgeable and driven regarding digital tools. Excellent Swedish in both spoken and written form is a prerequisite for this job.
It is advantageous if you have a university degree in archive and information science, public administration, law, or other education that the employer assesses as equivalent. It is also advantageous if you have completed a registrar training program at the diploma, certification, or university level. Previous experience working as a registrar, particularly within a municipality, experience in digital case management systems, documented experience in archive care, and the conditions that otherwise apply to authorities' handling of documents are also advantageous.
We are looking for someone who takes initiative and drives the work forward. You plan and prioritize your tasks independently and make independent assessments of registration obligations and confidentiality. You are flexible and can quickly adapt when circumstances change, handling both urgent matters and long-term tasks with the same commitment.
You collaborate smoothly with colleagues and operations to create order and efficient routines, and you provide professional and friendly service to citizens, media, and colleagues regarding questions about documents and document management. You work in a structured and methodical way so that case registration, confidentiality assessments, and other document management always maintain high quality, and you ensure that all work follows laws and guidelines. Additionally, you actively contribute to developing routines for the future's information management.
